Privacy policy

Last updated: 20 October 2026

This policy explains how Navideep Services OÜ handles personal data when you visit navideep.com, send us an enquiry or write to us. We collect only what we need to answer you and to do business with you.

Who is responsible

Navideep Services OÜ, registry code 12893115, Naistepuna tee 7/1-1, 11913 Tallinn, Estonia, is the controller of your personal data. For any privacy question, write to info@navideep.com.

What we collect

  • Enquiry form: your name and company, email address, the topic you choose and your message.
  • Email and other correspondence: your contact details and whatever you choose to share with us.
  • Business contacts: name, company, position and contact details of people we work with on charters, sales, inspections and projects.
  • Technical data: our hosting provider keeps standard server logs (IP address, browser type, pages requested, date and time) to run and secure the site.

Why we use it and on what legal basis

  • To answer your enquiry and prepare a proposal — steps taken at your request before a contract (GDPR Art. 6(1)(b)).
  • To perform a contract with you or your company (Art. 6(1)(b)).
  • To keep business relationships and protect our legal position — our legitimate interests (Art. 6(1)(f)).
  • To keep accounting records required by Estonian law (Art. 6(1)(c)).

We do not sell personal data, and we do not use it for automated decision-making or profiling.

Who we share it with

Only with service providers that help us run the business — website hosting, email and IT services, accountants — and only as far as they need it. Where a project requires it, we share contact details with counterparties such as shipowners, charterers or brokers, and only with your knowledge. We disclose data to authorities only when the law requires it.

Transfers outside the EEA

Our work is international. If personal data is transferred outside the European Economic Area, we rely on an adequacy decision of the European Commission or on the Commission’s Standard Contractual Clauses.

How long we keep it

  • Enquiries that do not lead to business: up to 3 years after our last contact.
  • Contract and business correspondence: for the duration of the relationship and the limitation period that follows.
  • Accounting documents: 7 years, as required by the Estonian Accounting Act.
  • Server logs: kept by the hosting provider for a short period, normally no longer than 90 days.

Cookies

This website does not use advertising or tracking cookies. If we add analytics in future, we will update this policy and ask for your consent where the law requires it.

Your rights

You can ask us for access to your data, to correct or delete it, to restrict or object to its use, and to receive it in a portable format. Write to info@navideep.com — we reply within one month.

You also have the right to complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), Tatari 39, 10134 Tallinn, www.aki.ee, or to the supervisory authority in your own EU country.
